Your ERP keeps sending PDFs. Your customers receive validated e-invoices.
Your software e-mails the invoice as it does today, only to a dedicated invoice mailbox. We build the e-invoice, validate it officially and send it from your address to your customer.
Ask about automationHow it runs every day
- Your software sends as usual — Invoices are e-mailed to a dedicated invoice mailbox you already have or create. In your software only the recipient address changes.
- We build the e-invoice — Each invoice is read, built as ZUGFeRD or XRechnung and re-checked against the original.
- Officially validated — Every file runs through the official KoSIT validation. Anything that fails is held and not sent.
- Sent from your address — The e-invoice goes from your invoice address to your customer. At first you approve every invoice, later it can run fully automatically if you want.
What you get
- Works with any software that sends e-mail — We need no access to your ERP and no interface. Your software only has to be able to e-mail invoices.
- Approve first, then automatic — You start in review mode and see every invoice before it is sent. We switch on full automation only when you want it.
- Incoming e-invoices too — E-invoices from your suppliers in the same mailbox are recognised, validated and archived.
- Archive and log — Original, e-invoice and validation report are kept unchanged with a checksum in the EU for 10 years. Every dispatch is logged.
How we start
- Short analysis, EUR 190 — We look at a few of your invoices and how you send them, then quote a fixed price for the setup and the running costs.
- Setup at a fixed price — After your go-ahead and payment we set everything up, together with you in a short online session. Then a test run with real invoices.
- Ongoing operation — Validation, sending, archive and format updates run on our side. You approve until you switch to full automation.
Frequently asked questions
- Do we need an interface to our ERP? — No. Your software only has to be able to e-mail invoices. If it can also export invoice data as a file, for example CSV or XML, we gladly use that because it is even more robust.
- Which mailbox is used? — A dedicated invoice mailbox with your current e-mail provider, for example invoices@your-company.com. You type the password into our protected form yourself. It is stored encrypted and never displayed.
- What happens if an invoice is wrong? — Then it is not sent. You see the reason, check the invoice and approve it or correct it in your software.
- Who is responsible for the invoice content? — You are. We take the values from your invoice, re-check them and validate the format technically. Tax content such as tax rates stays your decision. We do not give tax or legal advice.
- When do e-invoices become mandatory? — Every business in Germany has had to be able to receive e-invoices since 1 January 2025. Businesses with more than EUR 800,000 prior-year turnover must issue them from 1 January 2027, all others from 1 January 2028.
